Your privacy is a priority. This policy explains how your personal information is collected, used, stored, and shared in the context of psychological services. As a psychologist licensed in both Ontario and Québec, I comply with all applicable privacy legislation, including:
- The Personal Health Information Protection Act (PHIPA) (Ontario)
- The Personal Information Protection and Electronic Documents Act (PIPEDA) (Federal)
- Law 25 (Québec)
1. Information Collected
The following personal and health information may be collected as part of the provision of psychological services:
- Your name, date of birth, and contact information
- Relevant medical and psychological history
- Clinical notes, assessments, and treatment goals
- Billing and insurance details (if applicable)
2. Why Is This Information Used?
Your personal information is used for the following purposes:
- To provide personalized psychological services
- For clinical and administrative follow-up
- To comply with legal and ethical obligations
- To communicate with you when necessary
3. Consent
Your consent is obtained prior to collecting, using, or disclosing your personal information, except where otherwise required by law. You may withdraw your consent at any time, subject to legal and professional limitations, by contacting me directly.
4. How Is Your Information Protected?
Your data is stored electronically using secure and compliant platforms:
- Microsoft 365 Business / Outlook – for communication
- Jane App – for clinical records, and secure telepsychology sessions
- Jane’s payment solution, (PCI-compliant) for online payments
Access to your information is restricted to authorized individuals only.
Retention periods:
- Québec: Records are retained for 5 years after the last session.
- Ontario: Records are retained for 10 years after the last session, or 10 years after the client turns 18, whichever is longer.
5. When Is Your Information Shared?
Your information is shared only with your explicit consent, except when disclosure is required by law, such as in the following situations:
- Imminent risk of harm to self or others
- Risk of harm or abuse involving a child
- Compliance with a court order
- Request from a professional regulatory body (e.g., Ordre des psychologues du Québec [OPQ] or College of Psychologists and Behavioural Analysts of Ontario [CPBAO])
6. Your Rights
You have the right to:
- Access or receive a copy of your clinical file
- Request corrections to your information
- Withdraw consent for certain uses (within legal limits)
- Request deletion of your data where legally permitted
- File a complaint if you believe your privacy rights have been violated
